HOW TO REVIEW DEFICIENT REPORTS
Google Chrome is the browser that best supports TCE.
From your home screen, click on the “Deficient” icon. If there is a number in the top right corner of the icon, that is the number of reports submitted by ITMs that have not yet been reviewed by your jurisdiction.
THERE ARE THREE WAYS TO REVIEW DEFICIENT REPORTS.
WAY 1:
You will see a list of deficient reports that need to be reviewed and accepted into TCE so that TCE can begin its follow up process on deficient systems.
If you hover your mouse over the red number under the Deficiencies column, you will see the deficiencies the contractor has reported.
To enforce these deficiencies, check the box under the "Reviewed" column, and click the check button in the top right hand corner. The deficiency will then be reviewed and be sent to deficiency tracking to be followed up on.
WAY 2:
If you click on the deficiency number where it appears in red, a yellow box will appear.
- You can review the deficiency from this screen by checking the box next to “Reviewed” and clicking “Save.” As long as you did not uncheck the “Send Notice” box, reviewing the deficiency from this screen will still generate a notice.
- Clicking the dropdown labeled "Unassigned" will allow you to assign this report to anyone with a user login within your department to follow up on. They will receive an email that they have been assigned a deficiency.
- If you click the dropdown menu under “Priority,” you can make this deficiency a high, medium, or low priority.
- If you click the dropdown menu under “Status,” you can change this deficiency from “Open” to “Compliant,” “Non-Issue,” or “Not Deficient.” Only “Open” deficiencies will appear on deficiency notices.
WAY 3: WHERE YOU CAN REJECT A REPORT
The most detailed way to review a deficient report is to click on the bolded RN (report number).
On this screen you can see information about the system that was tested, the inspector and inspection company, as well as the premises location. You can open any attached documentation by clicking on it where it appears in bold.
If you scroll to the bottom, there are four options:
- Clicking on “Edit” will allow you to add a comment.
- If the information provided in the report is incorrect or insufficient, if the premises is outside of your jurisdiction, or if the contractor wrote “See report” instead of writing out the deficiencies, you can reject the report. When you click on “Reject,” you will be prompted to provide the reason for rejecting the report, which will be sent to the contractor who submitted it. They can edit anything except the report template and resubmit without incurring an additional submittal fee.
- To create a PDF copy of the report, click on “PDF.”
- To accept the report, click on “Mark as Reviewed.”
